Missed call text back for dental clinics
When a call goes unanswered, the system checks whether that patient has opted in to WhatsApp or has messaged the clinic before. If yes, they get a short WhatsApp message offering to help or book. If not, no message is sent and staff get a callback task instead. Consent decides everything.
What is missed-call text-back on WhatsApp?
A dental front desk cannot answer every call. Hygienists are mid-cleaning, the receptionist is checking in a patient, and lunch happens. A caller who reaches voicemail often just dials the next clinic on the map. The call itself is gone, but the number is still on your phone log.
Missed-call text-back turns that unanswered call into a conversation. Your clinic's phone line is set to forward unanswered or busy calls, or to trigger a notification when voicemail picks up. That event reaches our system. The system then looks at who called and decides whether a WhatsApp message is allowed. This step is the important one, and we are careful about it.
A WhatsApp message to a patient is only sent if that patient has opted in to WhatsApp messages from your clinic, or has messaged your WhatsApp number first and is still inside the 24-hour customer service window. A phone call by itself is not consent to be messaged on WhatsApp. If the caller is a stranger with no opt-in on file, we do not message them. Staff see the missed call in a callback list instead. We mention TCPA and CASL awareness when we plan this with a clinic, but we make no legal claims. Your own counsel decides what your consent wording needs to say.
For the patients who do qualify, the reply is short and useful. It says the office could not pick up, asks what they need, and offers to book right there. It is not a robocall in text form.
How the flow works, step by step
Trigger: A call to the clinic line goes unanswered, hits busy, or reaches voicemail, and the carrier or phone system sends that event to us.
- Detect the missed callYour phone line forwards unanswered calls, or the voicemail system sends a notification. We receive the caller's number and the time.
- Match the numberThe number is checked against patients who have opted in to WhatsApp and against any recent WhatsApp thread with your clinic.
- Check consent and the windowIf the patient opted in, or messaged first within the last 24 hours, we can send. If neither is true, we stop and create a staff callback task.
- Send a short messageInside the 24-hour window a normal message goes out. Outside it, only a pre-approved template can be used, and only for opted-in patients.
- Understand the replyThe patient says what they need: book, reschedule, ask a question, or report pain. The system routes it from there.
- Book or hand offSimple booking requests are completed in the chat. Pain, swelling, billing issues, and anything unclear go to a staff member with the thread attached.
What patients can reply
- Can I get a cleaning next week?
- I need to move my appointment.
- Do you take walk-ins?
- My tooth really hurts.
- STOP
What gets booked or recorded
The booking is written to your scheduling calendar, the patient gets a confirmation message, and the reminder sequence starts automatically.
When your staff takes over
Anyone who mentions pain, swelling, bleeding, an injury, a billing dispute, or who simply asks for a person is passed to staff with the full thread. A STOP reply is honored immediately.
A sample conversation
This is a fictional clinic and patient. Real wording is agreed with each clinic during onboarding, and the clinic approves every message template.
What you need to set this up
- A phone line that can forward unanswered or busy calls, or send a voicemail notification. Most business VoIP systems can. Some landlines need a carrier setting changed.
- A WhatsApp Business Platform number registered for your clinic through Meta's Cloud API.
- A record of which patients have opted in to WhatsApp, collected at intake, on a form, or by the patient messaging first. We help you write the opt-in wording.
- Access to your appointment calendar so booking replies show only real open slots.
- A named staff member or inbox that receives callback tasks and handoffs.
- Pre-approved message templates for contacting opted-in patients outside the 24-hour window.
What we do not automate
- Messaging callers who have not opted in and have not messaged you first.
- Any reply to a caller who mentions pain, swelling, bleeding, or an accident. A person answers those.
- Discussing treatment, diagnosis, or medication in the chat.
- Quoting prices or insurance coverage for specific procedures.
- Repeated follow-ups to someone who has not replied. One message is enough.

Frequently asked questions
No. We treat a call alone as not enough. A message is sent only when the patient has opted in to WhatsApp from your clinic, or has already messaged your number and is inside the 24-hour window. Unknown callers get no message, and staff see them in a callback list instead.
Your phone system forwards unanswered or busy calls, or sends an alert when voicemail is reached. That event tells us a call was missed and from which number. Your main number stays the same. Patients still call it the way they always have.
They appear in a missed-call list for your team, with the time and number. Staff call back as usual. You can also set a voicemail greeting that invites callers to message your WhatsApp number, which gives you a clean opt-in when they do.
You choose the rules. Many clinics send during business hours and let after-hours missed calls get a different reply that points to booking. See the after-hours booking page for how that works. Quiet hours can be set so nothing goes out at an unwelcome time.
Onboarding takes about 10 days, covering the call-forwarding setup, WhatsApp Business Platform connection, template approval, and testing. You approve the first message before it goes live. See the how it works page for the steps.
