After-hours appointment booking for dental clinics

After-hours booking lets a patient message your clinic's WhatsApp number at night or on weekends and pick a real open slot without waiting for the front desk. The system shows only times from your calendar, confirms the booking, and sends anything urgent or unclear to staff the next morning.

What is after-hours booking on WhatsApp?

Most people think about their teeth in the evening. They notice a chipped filling after dinner, or remember a cleaning is overdue while scrolling on the couch. If the only way to act is a phone line that is closed, many will wait, and many of those will never come back to it.

After-hours booking gives them another path. The patient sends a WhatsApp message to your clinic number. The system replies right away, asks what kind of visit they need, offers open slots from your real calendar, and books one. The front desk opens in the morning to a calendar that already has the new appointments in it, plus a short list of conversations that need a person.

This is different from missed-call text-back. There the patient called and no one answered. Here the patient chose to message, so consent is straightforward: they messaged first, and the reply sits inside the 24-hour customer service window. For anything your clinic wants to send outside that window, Meta requires a pre-approved template, and we set those up with you.

Booking is the easy part. The harder part is knowing when not to book. Pain that is getting worse, swelling, a knocked-out tooth, or any mention of an emergency stops the booking flow and moves to your emergency process.

How the flow works, step by step

Trigger: A patient or new contact sends a WhatsApp message to the clinic number while the office is closed, or during hours when no one is free to reply.

  1. Greet and identify the needThe reply names the clinic, says the front desk is closed, and asks what the patient needs: checkup, cleaning, a specific concern, or a question.
  2. Screen for urgencyWords like pain, swelling, bleeding, or injury switch to the emergency path. No booking is attempted until a person has looked.
  3. Collect the minimumName, date of birth if your system needs it to find the chart, and whether they are new or returning. Nothing clinical is asked.
  4. Offer real slotsTwo or three open times are pulled from your calendar for the right appointment type and provider. Slots that are not open are never shown.
  5. Book and confirmThe patient picks one. The appointment is written to your calendar and a confirmation is sent in the same chat.
  6. Queue the morning summaryStaff get a list of what was booked overnight and which conversations still need a human, in the order they arrived.

What patients can reply

  • Can I come in on Saturday?
  • I'm a new patient. Are you taking new patients?
  • Do you do whitening?
  • My filling fell out tonight.
  • Can someone call me tomorrow instead?

What gets booked or recorded

The appointment appears in the calendar with the patient's name and visit type, a confirmation message is sent, and the normal reminder sequence starts.

When your staff takes over

Urgent symptoms, insurance questions the knowledge base cannot answer, requests for a specific provider the calendar cannot show, and callback requests are all queued for staff with the full chat attached.

A sample conversation

This is a fictional clinic and patient. Real wording is agreed with each clinic during onboarding, and the clinic approves every message template.

What you need to set this up

  • A WhatsApp Business Platform number for the clinic, verified with Meta through the Cloud API.
  • Read and write access to your appointment calendar or practice scheduling tool, so the system sees real availability.
  • A list of appointment types with their lengths, and which ones can be self-booked. New patient exams and cleanings are common first choices.
  • A rule for what counts as urgent, written with your dentist, plus where urgent chats should go in the morning.
  • A link to the WhatsApp number on your website, Google Business Profile, and voicemail greeting so patients know they can message.
  • Business hours and any quiet-hours rules.

What we do not automate

  • Triage of dental pain or injury. The flow stops and a person decides what happens next.
  • Booking long or complex procedures that need a consult first.
  • Any statement about diagnosis, treatment options, or whether something is serious.
  • Quoting fees or promising insurance coverage.
  • Overriding a provider's blocked time or a double-booking rule.
