How Vocoworks collects, uses, shares and protects personal data across our website and AI receptionist services.

This Privacy Policy explains how Vocoworks ("we", "us") collects, uses, shares, and protects personal data when you use our website and our AI phone receptionist, WhatsApp automation and booking services (the "Services"). It is written with India's Digital Personal Data Protection Act, 2023 ("DPDP Act") in mind.

1. Who we are

Vocoworks provides AI phone agents and WhatsApp automation that answer calls and messages and take reservations for restaurants. When we provide Services to a business, that business is generally the data fiduciary (it decides why and how its callers' data is processed) and we act as a data processor on its behalf. For our own website visitors and prospective customers, we are the data fiduciary.

2. What we collect

Depending on how you interact with us, we may collect:

  • Contact details you give us — name, email, phone, business name — when you book a demo or get in touch.
  • Caller data processed on a business's behalf — the caller's phone number, the content of the call or message, and reservation details (party size, date, time, special requests).
  • Usage data — privacy-friendly, aggregated analytics about how our website is used (we use Plausible, which does not use cookies or collect personal data).

3. Call recordings & transcripts

To take a booking and improve accuracy, the Services may record and transcribe calls. Where required by law, callers are informed that the call is handled by an automated assistant and may be recorded. Businesses using our Services are responsible for any additional notice or consent their local rules require. Recordings and transcripts are treated as personal data under this policy.

4. How we use data

  • To answer calls and messages, take and confirm bookings and appointments, and send SMS or WhatsApp confirmations.
  • To sync confirmed bookings to a business's calendar or booking system.
  • To set up, train, support, and improve a business's AI agent.
  • To respond to demo requests and provide customer support.
  • To keep the Services secure and to meet legal obligations.

5. Our legal basis

We process personal data where we have a lawful basis to do so — including your consent, the performance of a contract, our legitimate interests in running and securing the Services, and compliance with applicable law. Under the DPDP Act, processing of personal data is generally based on consent or certain legitimate uses.

6. Who we share data with

We share personal data only as needed to run the Services, including with:

  • Infrastructure and AI voice providers that power call handling and transcription.
  • Communication providers for telephony, SMS and WhatsApp.
  • Calendar, CRM, POS and practice-management platforms you ask us to connect.
  • Service providers for hosting, analytics, and support.

We do not sell personal data. We require our providers to protect data and use it only for the purposes we specify.

7. How long we keep it

We keep personal data only as long as needed for the purposes above, to provide the Services, and to meet legal, accounting, or reporting requirements. Call recordings and transcripts are retained per the agreement with each business, after which they are deleted or anonymised.

8. Your rights

Subject to applicable law, you may have the right to access, correct, update, or erase your personal data, to withdraw consent, and to raise a grievance. Where we act as a processor for a business, please direct caller-data requests to that business; we will support them in responding.

9. Security

We use industry-standard technical and organisational measures — encryption in transit, access controls, and least-privilege practices — to protect personal data.
